Academy Parent Guidelines | Complaint Process | Program Policy
My responsibility with NCVBA is to assist my child to do the utmost and achieve their goals set in volleyball. I understand that participation in the Academy requires that I conduct myself with these NCVBA Parent Guidelines at the forefront of my actions and behaviors. I understand that a failure to meet these expectations means that I will not be permitted attend to practices or tournaments.
ATTENDANCE - I will help my child attend all practice sessions, matches and tournaments. If she/he is unable to attend, I will assure to notify NCVBA at least 1 day prior to the session to be missed. I will never take my child from a practice or tournament without first receiving permission from my child's coach.
COOPERATION - I will cooperate, with NCVBA administrative staff and management on questions or concerns regarding team issues and financial commitments. I understand NCVBA and the coaches make the final decision on all arrangements and will support their decisions.
SPORTSMANSHIP - I will always be an example to my child in the area of good sportsmanship during practices and tournaments. I will refrain from criticizing officials, opposing players, other parents, coaches, my child's teammates, and my child as well. I will not use any inappropriate language or gestures during practice or tournaments or while representing NCVBA.
APPEARANCE - I assist my child with appropriate dress, in the team uniform, for all tournaments.
COMMUNICATION - I will regularly check my email and the NCVBA web page (www.ncvba.org), recognizing this "electronic" method is the primary means of communication for practice changes, team assignments, etc.
COMPLAINT- I will allow my child to work to resolve problems or issues on the team with the coaching staff in accordance with the NCVBA Compliant Process. I will NEVER confront any of my child's coaches at a tournament or practice. If I absolutely need to discuss this type of problem with my child's coach, I will follow the NCVBA Compliant Process.
ATTITUDE - I will encourage my child to work hard at practices and tournaments and to take the time as a team seriously. I will assure she/he is attentive and focused on the coaches' instructions. I will support the coaches' suggestions for my child's improvement with eagerness and appreciation.
PAYMENT - I will make timely payment of dues to NCVBA for my child's participation in NCVBA. I agree to the financial commitments, and recognize that my failure to meet this commitment will unduly penalize my child and NCVBA. I understand that the NCVBA dues are for practice time and coaching fees. There is no guarantee for playing time.
Complaint Process
PLAYER or PARENT - If a player or parent has a concern or issue with a coach, the following procedure will be followed.
For technical/training concerns/issues, the player/parent should discuss them with her/his coach and work to a mutually agreeable solution. NCVBA strives to ensure all coaches are willing to listen to a player's concern. If the concern/issue is not resolved to the player's satisfaction, the player and her parents may approach the administrative staff and management. A meeting would be set up with the player, the parent, the coach and the Academy management.
For administrative concerns/issues, the player/parent shall approach the Academy administrative staff and management directly.
Agree to disagree. If a solution is still not reached, a player or parent can elect to resign as a member of NCVBA or withdraw from the specific program.
COACH - If the coach has a concern or issue with a parent or player, the following procedure will be followed.
1st warning - The coach will verbally express their concern/issue with parent or player. A review of the Parent and Player NCVBA guidelines will be suggested.
2nd warning - If the concern/issue recurs, the coach will issue the parent or player the 2nd warning, which is the final warning to the parent or player. Such continued behavior would be subject to ejection from the practice or tournament.
Ejection - If the parent or player behavior continues to be inconsistent with the Parent and Player NCVBA Guidelines, the coach will issue the parent or player an official ejection from the practice or tournament. There would be no appeal process.
The Parent and Player NCVBA Guidelines are the guiding principles for determining what is or is not inappropriate behavior for the warning and ejection situations.

Program Policy
REGISTRATION/PAYMENT
• Applicants will be accepted on a first-come, first-served basis. There are minimum and maximum enrollments for each program and clinic. Please apply early.
• Age/grade levels are set up for most programs and clinics. Age/grade overlap exists in some programs and clinics to account for varying ability among student-athletes.
• Registration information is available on the website. We only accept check payment.
• Program/clinic registration fees apply to every participant. We do not prorate these activities.

• Returned checks are subject to a $30 returned check fee.
• You will receive an e-mail confirmation once your registration form/check have been received and processed.
CANCELLATION POLICY
• We reserve the right to cancel any program/clinic that does not reach established minimum requirements. You will be notified by e-mail if a cancellation is necessary. For program/clinic cancelled by NCVBA you will receive a full refund
• Should you need to cancel your registration for any reasons, the following cancellation policy will be followed.
• You must notify us of your cancellation by e-mail (andy@ncvba.org).
• If the cancellation request is received one month prior to the start of the program/clinic, a 15%, non-refundable, processing fee applies to the total payment amount of every application.
• If the cancellation request is received less than one month prior to the start of the program/clinic, a 50%, non-refundable, processing fee applies to the total payment amount of every application.
• No refunds will be given for cancellation after the start of programs/clinics.
